Remitide’s two roles
This comes first because it frames everything else. Remitide processes two very different kinds of data, and its legal position is not the same for both.
- Your data: your name, your email address, your company’s details and how you use the application. Here Remitide is the controller: it decides what the data is used for. That is what this page is about.
- Your customers’ data: the people and businesses you chase for payment of an invoice. Here Remitide is only a processor: you are the controller, and we simply do what you ask. This is governed by the data processing agreement, a separate document that is binding on both parties.
Who the controller is
Blixma Capital Group, S.L., with its registered office at Carrer Jaume Balmes, 18, 08348 Cabrils (Barcelona), España. For any question about your data, including exercising your rights, write to soporte@remitide.com.
What we process and why
To provide the service. Your name, your email address and a cryptographic hash of your password (never the password itself); the company details you enter in Settings; and a log of what you do in the application, which is what shows who changed what and when. The legal basis is the performance of the contract you accept when you create your account: Article 6.1.b of the GDPR (the EU General Data Protection Regulation).
To keep your account secure. The IP address and browser you sign in from, and failed sign-in attempts. This lets us stop brute-force attacks and lets you see and close your open sessions. The legal basis is our legitimate interest in protecting the service and the people who use it: Article 6.1.f.
To know what gets read, without cookies. When we serve an article, a guide or a main public page, we add one to a daily counter broken down only by the domain the visit came from, the device type and the country indicated by the network. Neither the IP address nor the browser is stored, nothing is stored on your device, and there is no way to know whether two reads come from the same person. The IP address is held for a few minutes in the server’s memory, encrypted and never saved, only to stop anyone inflating the figures. The legal basis is our legitimate interest in knowing which content people find useful so we can improve it (Article 6.1.f), an interest that does not override your privacy because the result is aggregated figures that identify no one. The details are in the cookie policy; you can object by writing to our privacy email address.
If you accept our own analytics. A random identifier in a cookie, the pages you read, where you came from (UTM parameters and referring domain, the first and the last time), how far you read articles, clicks on the buttons to try Remitide, talk to the team, see pricing or the guarantee, whether you use the calculator or the collections check-up (not what you type) and whether you go on to create an account. The legal basis is your consent (Article 6.1.a of the GDPR and Article 22.2 of Spain’s Information Society Services Act, the LSSI), which you can withdraw at any time from the cookie policy as easily as you gave it; withdrawing it deletes the analytics cookies.
To bill you. The data needed to issue your invoice and keep the accounts. The legal basis is compliance with legal, tax and accounting obligations: Article 6.1.c. We don’t store any card details: the payment gateway handles that, and we never see them.
To write to you. Service emails (security alerts, important changes, incidents) are part of performing the contract and can’t be switched off while you have an account: they are the ones that tell you if something goes wrong. Any other commercial communication requires your consent and can be withdrawn at any time. If you are a founding company, the monthly request for feedback is voluntary, and quoting your name or showing your logo always requires your express permission.
If you book a call or write to us. Your name, your email address and whatever you tell us. Calls are booked through Google’s appointment calendar, which collects that data for us. We use it only to help you and answer what you ask before you sign up; the legal basis is taking steps at your request before entering into a contract or, if you are already a customer, performing the contract: Article 6.1.b. If you don’t go on to sign up, it is deleted when the conversation ends and, at the latest, after one year.
What we don’t do
We don’t sell data. We don’t pass it to third parties for their advertising. There are no tracking cookies, social media pixels or third-party analytics on this website, and no commercial profile is built about you. Reads are always counted in aggregate and without cookies. If you also accept our own analytics, the pages you read, where you came from and which buttons you click are measured pseudonymously; the details are in the cookie policy and you can withdraw your consent at any time.
Nor do we use your customers’ data or the content of your reminders for anything other than providing the service to you: not to train models, not for shared statistics and not to sell you anything.
Google sign-in and email
If you choose to sign in with Google, we receive your name and verified email address from Google to identify your account. Signing in does not give us your Google password or access to Gmail.
If you connect Gmail or Google Workspace as your sending account, Remitide requests only the gmail.send permission. It is used to send the reminders you set up in Remitide from the account you have chosen. That permission does not allow reading, searching, changing or deleting messages in your mailbox, and Remitide does not request that access.
- The connected address is shown in your settings so you always know which account is active.
- Access and refresh tokens are stored encrypted while the connection is in place, and deleted when you disconnect it.
- You can revoke the permission from Settings › Email connection or from your Google account’s security settings.
- Data received from Google is not sold, not used for advertising and not used to train artificial intelligence models.
Remitide’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You can read the Google API Services User Data Policy ↗. The legal basis for the processing needed to provide these features is the performance of the service you have requested; granting or revoking the permission in Google technically controls access and does not stop you using Remitide with another sign-in or email method.
Microsoft sign-in and email
If you choose to sign in with Microsoft, we receive your name and email address from Microsoft to identify your account. For work accounts, we only accept that address if Microsoft confirms the domain is verified by the organisation. Signing in does not give us your Microsoft password or access to your mailbox.
If you connect Outlook, Hotmail or Microsoft 365 as your sending account, Remitide requests the Mail.Send permission, to send the reminders you set up in Remitide from the account you have chosen; User.Read, to know which account you have connected; and offline_access, to keep the connection without asking you to sign in every time. These permissions do not allow reading, searching, changing or deleting messages in your mailbox, and Remitide does not request that access. Sent reminders appear in your Sent Items.
- The connected address is shown in your settings so you always know which account is active.
- Access and refresh tokens are stored encrypted while the connection is in place, and deleted when you disconnect it.
- You can revoke the permission from Settings › Email connection or from your Microsoft account (for a work account, your Microsoft 365 administrator can too).
- Data received from Microsoft is not sold, not used for advertising and not used to train artificial intelligence models.
The legal basis is the same as for Google: the performance of the service you have requested. Granting or revoking the permission in Microsoft technically controls access and does not stop you using Remitide with another sign-in or email method.
Automated decisions
The software suggests or sends reminders according to the rules and permissions that have been set up. The customer must assess the effect of those automations on people and keep them under supervision. Working with invoices does not, in itself, rule out Article 22 of the GDPR. The service is not intended for making credit decisions with legal effects on people.
No automated decision with legal or similarly significant effects is made about your own account.
Who else handles the data
Technical providers and the services you connect are involved. Where they act as processors, their involvement requires the corresponding data processing agreement. Other providers, such as payment services, may also act as controllers for their own legal obligations. A provider’s label does not, on its own, determine its role.
| Provider | Purpose | Location |
|---|---|---|
| Railway ↗Railway Corp. | The server that runs the application and the database where invoices, contacts and reminders are stored. | Netherlands (europe-west4 data centre). Encrypted backups in Amsterdam. Railway Corp. is a US company |
| Stripe ↗Stripe Payments Europe, Ltd. | The payment gateway your customer uses to pay the invoice, through your own Stripe account. The money goes to your account, not ours: we never receive or hold it. Stripe also collects the Remitide subscription; card details are handled by Stripe and we never see them. | Ireland and the United States |
| Resend ↗Plus Five Five, Inc. (Resend) | Delivery of platform emails, such as password recovery, welcome messages and subscription confirmations. It is not a fallback for chasing customer invoices: those reminders require each company’s own connected email account. | United States |
| OpenAI ↗OpenAI Ireland Ltd. | The AI provider: it drafts reminders and answers in the assistant. It receives the customer’s name, the invoice number and amount, the notes and the text of the conversation, and nothing else. Data sent through its API is not used to train its models. | Ireland, with processing in the United States by its affiliates |
| Google ↗Google Ireland Ltd. / Google LLC | Sign-in with Google, and sending reminders from the Gmail account the company connects (gmail.send permission). Not used as an AI provider. | European Union and United States |
| Microsoft ↗Microsoft Ireland Operations Ltd. | Sign-in with Microsoft, and sending reminders from the Outlook account the company connects (Microsoft Graph Mail.Send permission). | European Union and United States |
| Anthropic ↗AnthropicNot yet in use | Alternative AI provider for drafting reminders and for the assistant. Only one AI provider is active at a time; it would receive the customer’s name, the invoice number and amount, the notes and the text of the conversation. | United States |
In addition, data is disclosed to public authorities when a law requires it, for example to the Spanish Tax Agency (Agencia Tributaria) in relation to invoicing.
Where the data is
The application and the database are hosted in the Netherlands, and encrypted backups are kept in Amsterdam. The providers involved and where they process data are listed in the table above.
Some providers are established in the United States or may process data there. Railway Corporation, Stripe, LLC, Plus Five Five, Inc. (Resend), Google LLC and Microsoft Corporation are certified under the EU-US Data Privacy Framework, and transfers to them rely on Commission Implementing Decision (EU) 2023/1795. Their data processing agreements also include the standard contractual clauses adopted by the European Commission in 2021. The AI provider is OpenAI Ireland Ltd., which transfers data to its US affiliates under the 2021 standard contractual clauses, as OpenAI is not certified under that Framework; Anthropic, an alternative provider not currently in use, would likewise rely on standard clauses. A copy of these safeguards is available on request from our privacy email address. The assistant and the reminder writer only receive the information needed for the task they are given.
How long we keep it
- Your account data, for as long as your account is open. When you close it, the data is deleted, except what must be kept by law.
- Remitide’s own tax and accounting records, for the applicable legal periods. This does not allow your customers’ invoices to be kept indiscriminately: those are governed by your instructions and the data processing agreement.
- The access log and the audit log, for as long as the account exists. They are the record of who did what, and they are useful both to us and to you.
- Sent reminders, with their exact wording, for as long as the account exists: they are the record of what was communicated and when, which is exactly what is needed if a debt ends up being disputed.
- The cookie-free read counters, 25 months. They contain no personal data.
- With analytics accepted: cookies last at most 13 months; what is measured about people who don’t create an account is deleted after 25 months, and the origin of people who sign up is kept with their account for as long as it exists.
- After an account is closed, the record of the contract (which version of the terms was accepted, when and from which account) and any data that must be kept by law are stored in blocked form, as provided for in Article 32 of Spain’s Data Protection Act (LOPDGDD): available only to judges, courts and public authorities, and for the limitation period of any liabilities that may arise.
Your rights
You can ask for access to your data, its rectification or erasure; restrict or object to its processing; and request its portability in a commonly used format. You can also withdraw any consent you have given at any time, without affecting processing carried out before.
For portability you don’t even need to write to us: in Settings › Data and privacy you can download your invoices, your customers and your reminders in a file that any spreadsheet can open. For everything else, write to soporte@remitide.com, and we will reply within the one-month period set by the GDPR.
If you think we have not handled your request properly, you can complain to the Spanish Data Protection Agency (AEPD) ↗.
If someone is chasing you for payment of an invoice
If you have arrived here from a payment reminder, we don’t hold your data by our own choice: it was provided by the business chasing you for payment, which is the controller of that data. We are only the tool it used to write to you.
This means that your rights over that data are exercised with that business, and its name and email address appear in the reminder you received. If you write to us, we will tell you who the controller is and pass on your request without delay, but we can’t delete or change, on our own initiative, data that isn’t ours.
If you reply through the link in the reminder (“I’ve already paid”, a payment date, a problem or a request for more time), what you choose and write (the option, the date, the reason, your comment and, if you give it, the bank transfer reference) is saved with the date and time, and is received by the business chasing you, which remains the controller. Remitide processes it on that business’s behalf, as a processor, to pass it on and adjust that invoice’s reminders, and does not assess its legal significance. We don’t store your IP address: only a cryptographic hash that changes every day and is used to stop abusive submissions. Your reply is kept with the invoice for as long as the business keeps it in its account. Don’t include bank details or anything that isn’t necessary.
Insolvency monitoring
For insolvency monitoring, Remitide reads every day the “Situación concursal” (insolvency status) entries in Spain’s Official Companies Gazette (BORME, Section One) through the open data API of the Official State Gazette (BOE), whose reuse is permitted by Spain’s Public Sector Information Reuse Act (Law 37/2007) and by the BOE’s own terms. The Single Judicial Edictal Board (Tablón Edictal Judicial Único) and the Public Insolvency Register (Registro Público Concursal) are not used, as they don’t allow automated retrieval.
From each entry we keep only what is needed to compare it with our customers’ portfolios and display it: the company name, the type of act, the date of the decision, the court, the case number and the link to the publication. We don’t keep the names of directors or other individuals, or entries for sole traders. Almost all of it is data about legal entities, to which the GDPR does not apply; if a company name included an individual’s name, the legal basis is our legitimate interest in offering this service based on a public source (Article 6.1.f), with that minimisation.
Anything that doesn’t match any customer of any business using Remitide is deleted 180 days after publication. When it matches a business’s customer, the alert becomes part of that business’s data: Remitide processes it as its processor and keeps it for as long as that customer remains in its account. This information is for guidance only: Remitide does not assess anyone’s solvency, it only indicates that an official publication exists.
Data source: Agencia Estatal Boletín Oficial del Estado (the Spanish Official State Gazette agency).
Accounting firms and their client companies
If you are an accounting firm (gestoría) with a Remitide account, Remitide is the controller of the data about your firm and the people who use it, as with any other account, and everything above applies.
The data of each linked client company (its invoices and its customers’ data) remains that company’s data; the company is the controller, and Remitide processes it as its processor. The accounting firm has access to it only because the company authorised this when it accepted the link, with the level of access the company chooses, and on the company’s behalf: every visit is recorded in the company’s history, and the company can change or remove the access whenever it wants. The data protection relationship between the company and its accounting firm (the processing agreement required by Article 28 of the GDPR) is a matter between them.
Partner programme
If you are a partner. We process the data you give us for the programme (company or personal name, tax ID (NIF), tax address and email address for payouts), the version of the programme terms you accepted and when, and your commission ledger, in order to perform those terms (Article 6.1.b of the GDPR) and to meet Remitide’s tax and accounting obligations (Article 6.1.c). We keep it while you take part and, afterwards, for the legal retention periods. We don’t ask for your IBAN: it goes on the invoice you send us.
If your account came through a partner. When you sign up with their link, we tell you: the partner will know that you are a customer, your plan and what you pay, to calculate their commission. Specifically, they see your company’s trading name, your plan, whether you have a paid subscription, since when, and the amounts excluding VAT of your Remitide invoices on which their commission is calculated. Never your invoices, your customers, your reminders or your people’s data, and you see nothing of theirs except their name. We do this based on the legitimate interest of Remitide and the partner in calculating and paying the agreed commission (Article 6.1.f), an interest that does not override your rights because the data is the minimum needed for that calculation and you know about it from sign-up.
The partner receives that data as an independent controller and may only use it to check their commissions and keep their accounts (as the programme terms state). You can object by writing to soporte@remitide.com: if you do, they will no longer see your name and plan, only the amounts of their commission. You can always see this in Settings › Partners.
Security
What is in place is described in detail, with specific names, on the security page. In short: passwords are stored with argon2id, the credentials for your connections and your email are encrypted, each company is isolated in the database itself through row-level security, and production connections must be protected with TLS. This is not end-to-end encryption: the service needs to process readable data. No system is risk-free, and the measures must be reviewed continuously.
As controller, we will notify the authority where required, without undue delay and, where feasible, within 72 hours of becoming aware. Whether the people affected are informed depends, among other legal grounds, on there being a high risk. As processor, we will notify the customer who is the controller without undue delay.
Children
Remitide is a work tool for businesses and professionals. It is not aimed at minors and their data is not knowingly collected.
Changes
If this policy changes, the new version is published here with a new revision date. When the change is substantial (a new provider, a new purpose), we will also let you know by email or in the application, with enough notice for you to object or close your account.
