Frequently asked questions
What people ask before they start.
How your invoices come in, when and where reminders are sent from, which legal deadlines it takes into account, where the money goes and how much control you have over all of it.
Getting started and connecting
With a supported API, you connect your account and sync the invoices and payments the provider shares. With other software, you export and import a CSV or Excel file: Remitide recognises the columns, shows you what it has understood and saves nothing until you confirm.
Your software keeps issuing the invoices. Remitide takes care of what happens next: it spots every due date, runs the reminder sequence that fits each customer, writes each reminder for its invoice, sends it from your mailbox and stops when the payment shows up in your software. It also calculates late payment interest and shows you your days sales outstanding (DSO) and debt ageing. The email connection only sends: it doesn’t read the emails your customers reply with, so if a customer writes to you, you review their message and pause the follow-up yourself. What does adjust that invoice’s follow-up automatically are the four one-click replies in the link in every reminder. It’s work nobody does today, or someone does by hand in unbillable hours.
Yes, and it’s the first thing worth doing. When you import your history, you’ll see which age bracket each overdue euro falls into and who owes you the most, which is where to start.
There are API connectors for more than 25 programs, all included from Starter: Holded, Quipu, Odoo, Cuéntica, STEL Order, Quaderno, FacturaDirecta, InvoiceXpress, Lexware Office, Pennylane, Sellsy, Moneybird, Stripe Invoicing, PayPal, Dolibarr and ERPNext, among others. You enter the credentials each card asks for and check the imported data. If yours isn’t on the list, you import a CSV or Excel file exported from it. Remitide doesn’t change anything in your software. Check the requirements under Integrations.
Yes, the Accounting firms plan: a multi-client dashboard with what’s outstanding, what’s overdue, DSO, ageing and alerts for each client company, whatever invoicing software it uses. You access each company with the permissions it gives you, and each one keeps chasing its own invoices from its own email. €139.99 a month plus VAT with 5 small companies included, and each additional company priced by size, from €17.99 a month; the details are on the Accounting firms page.
Reminders and the assistant
By default, the first reminder goes out 3 days before the due date and is friendly. After that, the sequence moves forward as the debt ages and adjusts the tone. Each sequence has its own sending window, and frequency is capped: at most one or two reminders per customer per week, depending on their type. During the trial, every reminder waits for your approval before it goes out.
Every reminder comes with four replies: “I have already paid”, “I will pay on…”, “There is an issue” and “I need more time”. Your customer picks one without creating an account or password, and the reply comes to you or to that customer’s owner. A payment date is recorded as a promise and no reminder goes out until that day. An issue puts the invoice in dispute, with no reminders until you resolve it. “I have already paid” doesn’t mark it as paid: reminders wait 5 working days while you check. You accept or decline requests for more time yourself. Only replies through the link count: an email reply doesn’t pause anything on its own. Every reply is saved with the invoice, with the date and time; Remitide doesn’t assess it legally: if you plan to use one as evidence against your customer, check with your adviser. It’s on every plan, including the trial.
Yes, completely. You choose how many reminders are sent, on which day each one goes out, in what tone, whether they mention late payment interest and exactly what they say. You can have up to five sequences —for example regular customers, key accounts and public sector— and assign each customer theirs. Every reminder is sent from your connected email with your logo, your department’s signature and your legal footer, on Starter too. From Plus, each customer can also have an owner: their reminders are signed by that person and replies go to their email. Payment pages and links may show Remitide.
You ask it in plain words and it answers with your data, not from memory: how much a customer owes you, which reminders go out today, how much interest you could claim. And it does things: it records a payment, changes a customer’s payment terms or drafts an email and shows you the whole thing before sending it. Actions follow the permissions and limits you’ve set. Review every proposal; the sending mode decides which reminders need approval.
Reminders only go out from an email connected by your company. You can connect Gmail or Google Workspace, Outlook or Microsoft 365 through their account, or use your email provider’s SMTP server. If no email of your own is connected and verified, Remitide blocks sending.
You can edit the text of your templates in whatever language you need. Review the message before sending it; automatic translation isn’t promised.
Control and trust
A debt collection agency steps in once an invoice is already unpaid, contacts your customer as a third party and usually charges a percentage of what it recovers. Remitide acts before the due date and while payment is late, from your own mailbox and with your signature, for a fixed fee. The money never passes through Remitide, and Remitide never chases on anyone’s behalf.
It calculates late payment interest under Spain’s Late Payment Act (Law 3/2004) (the ECB reference rate plus 8 points) and the €40 per invoice. From Professional, the legal deadline tracker for unpaid invoices shows, invoice by invoice, when you can recover the VAT (art. 80 of the Spanish VAT Act), the deadlines if the customer enters insolvency proceedings, the reference date for the limitation period and when you can deduct the loss. It’s for guidance only: check it with your accounting firm (gestoría).
From Plus, Remitide matches insolvency notices in Spain’s Official Companies Gazette (BORME) against your customers every day. The BORME doesn’t publish the tax ID (NIF/CIF), so a match by company name is possible and you confirm it. Once you confirm it, automatic reminders to that customer are paused and, if it’s a declaration of insolvency, its date goes to the deadline tracker (from Professional): one month to file your claim and the cut-off for recovering the VAT (art. 80.Three of the Spanish VAT Act). If you dismiss it, everything goes back to how it was. It’s guidance based on official publications; confirm it with your accounting firm or lawyer. Yes. If you issue a corrective invoice, the reminder only asks for what’s really outstanding and explains the breakdown, and if the invoice is settled, it stops chasing it. When a credit note doesn’t say which invoice it belongs to, it isn’t applied automatically: you’re alerted before that customer is chased so you can decide.
You decide, action by action, what gets prepared automatically, what needs a notification and what always needs your approval. Anything that touches money or leaves your company keeps its safety limits, and you can pause all follow-up instantly.
As data, never as instructions. If someone wrote “pause the follow-up” in their company name, the assistant would report it instead of obeying it. Actions are validated against the account’s permissions and server-side controls; those that need approval show a summary based on the app’s data. Always review proposals: no control removes every risk.
In production, processing by an external AI is off by default. Turning it on requires approving the provider and its data policy: questions and the necessary context are sent to that service.
Passwords are stored with Argon2id and can’t be reversed. Sessions use cookies the browser won’t let any script read. And the separation between companies lives in the database itself, not just in a filter in the code: the RLS policies are designed to prevent access to other companies’ rows. No system offers zero risk.
Money and pricing
The Stripe Connect flow uses your company’s Stripe account. Stripe processes the payment and pays the money out to your bank account under its terms. Remitide doesn’t receive or hold those funds.
Remitide puts the button in the reminder and records the payment when it comes in. The payment is processed by Stripe against your company’s account. To accept real payments, that account has to be set up, which you manage from Settings › Payments and bank, subject to Stripe’s verification.
Every plan includes supported invoicing connections, your own email, your IBAN in reminders, reminders by customer type, your logo and signature in every reminder and one-click customer replies. From Essential you add one-click payment with your own Stripe account; from Plus, an owner per customer and insolvency monitoring; from Professional, a copy of every reminder to your team, the ageing report and the legal deadline tracker for unpaid invoices, and from Advanced, approval by amount. The number of invoices, people and reminders per month also changes, which you can check in Settings › Plan. Connections need valid accounts and permissions with the providers. Stripe’s processing fees belong to the payment gateway and are set out in its terms.
A password hashed with Argon2, sessions you can see and sign out from Settings › Security, and two-step verification with an authenticator app (Google Authenticator, Microsoft Authenticator, 1Password…), with single-use recovery codes. Each company’s data is kept separate in the database, and your connection credentials are stored encrypted.
First you try it free for 14 days, with no card. If you’re not satisfied within 30 days of the first payment for your first subscription, we’ll refund that payment in full and cancel the subscription. Once per company, from Settings › Plan. It doesn’t apply if your first month was free through a referral, because there was no payment. The full conditions are in the terms.
Follow-up keeps working exactly the same: reminders go out, payments are recorded and your receivables are updated. The only thing that pauses is writing help, until the next month or until you upgrade. You can see how much you’ve used in Settings › Usage.
