Purpose and acceptance
These terms govern the use of Remitide: the website and application at remitide.com. Signing up requires accepting these terms and the data processing agreement. The privacy policy explains how data is processed; it is not a general consent. The data processing agreement forms part of the agreement. Simply visiting the website does not amount to taking out a subscription.
The service is provided by Blixma Capital Group, S.L. and is aimed at businesses and professionals, not consumers: it is a work tool for collecting invoices issued in the course of a business activity. By creating an account you declare that you are acting in the course of your business or profession; if not, you should not sign up for the service.
What Remitide is, and what it isn’t
Remitide is software with which a business keeps track of its own overdue invoices and sends payment reminders to its own customers: it imports the invoices, works out what is outstanding and what the delay is costing, and sends reminders following the sequence you set up.
Remitide is not a debt collection agency. It does not collect debts on behalf of others, does not buy debt, does not manage portfolios of unpaid debts and does not receive or hold any money. You are the one chasing payment, for your own invoices: reminders go out in your name and, if you set it up, from your own mail server, and payments go straight to your bank account.
Nor is it, and this is worth saying given what people might expect from software like this:
- Advice. Not legal, tax or financial advice. Late payment interest and collection cost calculations follow Spain’s Late Payment Act (Law 3/2004) with the rates published by the Ministry. If you switch on “Claim late payment interest and €40”, they are added to your reminders and the payment link: the decision to claim them is yours and you are responsible for ensuring they are due from your customer. If you are going to court, the figure should be confirmed by whoever is handling your case.
- A guarantee of payment. A well-written, timely reminder does not guarantee payment, a minimum recovery or any particular timescale.
- A replacement for your invoicing software. Remitide connects to the one you already use or reads what you export from it.
Your account
You need an account to use the application. Each person on your team must have their own: sharing credentials breaks the record of who did what, which is exactly what serves as evidence if a reminder is disputed.
You must protect your credentials, assign appropriate permissions and keep access to your email. This obligation does not make you responsible for incidents caused by a failure on Remitide’s part. If you think someone is accessing your account without permission, change the password (this automatically closes all other sessions) and write to us.
What you must comply with
This part matters more than the rest, because the software sends emails to people who are not our customers but yours. By using Remitide you undertake that:
- The debts you chase are real and relate to your own invoices, issued for goods or services you have provided.
- You are entitled to process your customers’ data and to contact them this way. You are the controller of that data; we are only the processor.
- Reminders don’t harass anyone. The software comes with frequency limits set by default and you shouldn’t remove them: there is a clear difference between reminding someone about an invoice and hounding a person, and the second is prohibited by these terms as well as by law.
- You deal with what comes back. If one of your customers replies saying they have already paid, that they don’t recognise the debt or that they don’t want to receive any more emails, you must review the case and stop any reminders that are not appropriate. You must keep an eye on your own mailbox: don’t assume Remitide detects or interprets every reply.
And you may not use the service to:
- chase debts owed to others, assigned or bought, or use it to provide a debt collection service to other businesses;
- send commercial communications or advertising: Remitide is for payment reminders, not campaigns;
- extract data in bulk or by automated means, resell it or build it into another product;
- try to reach the data of other businesses using Remitide or get around the access controls.
If any of this is breached, we may suspend the account: immediately if there is a risk to third parties, and with prior notice in all other cases.
Prices and payment
The plans, with the prices in force when this document was reviewed:
| Plan | Price per month | Invoices per year | What it is |
|---|---|---|---|
| Trial | Free | Those of the plan you choose | No card and no commitment. Lasts fourteen days. |
| Starter | €19.99 | 100 | For freelancers who don’t invoice much. One person. |
| Essential | €29.99 | 250 | For anyone who invoices regularly. Adds the Pay button. |
| Plus | €45.99 | 600 | For small teams. Adds an account manager for each customer. |
| Professional | €69.99 | 1,200 | More volume, a copy to your team, the ageing report and guided onboarding. |
| Advanced | €99.99 | 2,400 | For large portfolios. Adds approval by amount. |
| Business | €149.99 | 4,800 | For several teams. Adds priority support. |
Above those volumes, the Custom plan, from €199.99 a month, is agreed by contacting us. Anyone subscribed to a plan from the previous price list (Core, Growth, Scale or Enterprise) keeps it with its price and limits for as long as they don’t change it; those plans are no longer available to new subscribers.
All plans include connections, sending from your own email account, your IBAN in reminders, reminders by customer type (up to five sequences) and your logo, signature and legal footer on every reminder. From Essential, one-click payment with your Stripe account is added; from Plus, an account manager for each customer, who signs their reminders and receives their replies; from Professional, a copy of every reminder to your team and the ageing report; from Advanced, approval by amount. These features follow the plan you are on at any given time: if you downgrade they stop applying, and any settings you had made are kept.
What counts is the sales invoices issued in the calendar year. History from previous years that you import when you start does not count. If you reach the limit, the invoices you already have keep working as before; to add more for that year you need to switch to a plan with more invoices.
Prices are shown excluding VAT, which is added as required by the applicable rules. The plan is paid in advance and renews monthly or annually, depending on the period chosen, until you cancel the renewal. If a renewal payment fails, Stripe will retry it and we will let you know by email; if it can’t be completed, the subscription is cancelled automatically, with no further charges, and access ends with the last paid period. Your data is kept and you can reactivate it.
Upgrading is immediate and you are only charged the difference for the days left in the period. Downgrading is scheduled and applies at the next renewal: you keep the days you have already paid for on the higher plan.
Price changes. Except for the price commitments expressly set out in these terms, such as the one for the previous price list, we may update our prices. For a subscription already running, the new price only applies from the next renewal and after notifying the account manager by email at least thirty days in advance. If you don’t agree, you can cancel the renewal before that date at no cost. Percentage discounts are calculated on the price list in force at any given time.
The free trial lasts 14 days from sign-up and applies the real limits of the plan you have chosen. During the trial, reminders really are sent from your email account, but each one waits for your approval before it goes out, with a maximum of 20 reminders a day. It doesn’t require a card and doesn’t automatically turn into a paid subscription. To continue afterwards you must take out and pay for a plan; changing your choice or starting a new subscription does not restart the trial. If you subscribe before the trial ends (or before the end of any free months you have been given), nothing is charged that day: the first charge is made when they end.
Annual payment charges the amount of 10 monthly payments at once for twelve months of service (2 months free). There is no welcome discount: the first subscription comes with the 30-day guarantee in the next section. Stripe shows the amount, taxes and billing frequency before you confirm. Only a confirmed payment activates the paid features.
30-day guarantee
If you are not satisfied within 30 calendar days of the first payment for your first Remitide subscription, we will refund that first payment in full, taxes included, and the subscription is cancelled. You don’t need to give a reason or to have stopped using the service. These are the conditions:
- Period: 30 calendar days from the moment Stripe confirms the first payment.
- What is refunded: only that first payment, whether monthly or annual. Renewals and differences charged for upgrading afterwards are not refunded, even if they were charged within the period.
- Once per company and per paying customer (the same Stripe customer), and only on the first subscription: if you cancel and subscribe again, the new subscription doesn’t have it.
- It does not apply if the first month was free through the referral programme: that first payment was €0, so there is nothing to refund, and the guarantee does not carry over to later payments. If a referred company uses it, the company that referred it doesn’t earn the free month for it (see the referral programme).
- Founding companies also have it, for the amount they paid with their discount. As the subscription ends, the founding company discount is lost, as with any other termination.
- How to request it: the account manager, from Settings › Plan, where the button appears while the conditions are met, or by asking the Remitide assistant. In both cases it must be expressly confirmed.
- What happens when you confirm: the subscription is cancelled at that moment, not at the end of the period; the paid features end and the account switches to read-only mode, with your data available to view and export. Stripe issues the corrective invoice and refunds the amount to the original payment method; your bank usually takes 5 to 10 business days to show it.
- Remitide may refuse it if it is used fraudulently, for example by creating new accounts or paying customers to repeat it.
If the button doesn’t appear and you think you are entitled to it, write from the owner’s email address to soporte@remitide.com, stating the account and the Remitide invoice, never card details. We will confirm receipt and resolve it within 14 calendar days at most; the date you wrote to us within the period is what counts.
Cancelling the renewal does not automatically request a refund. Outside this guarantee, no pro rata refunds are offered for voluntary cancellation. This commercial guarantee does not limit withdrawal rights, refunds for breach or any other mandatory rights that may apply, including consumer rights.
Referral programme
Every company has a personal link in Settings › Refer Remitide. If another company signs up with it, both get a free month, on these conditions:
- The referred company starts with the normal 14-day trial. If it then takes out its first monthly subscription, the first month is free. As that first payment is €0, the 30-day guarantee does not apply to that subscription.
- The referring company earns a free month once the referred company has paid its first Remitide invoice for more than zero and 30 calendar days have passed since that payment (the guarantee period) without the referred company using it. If the referring company doesn’t yet have a paid subscription at that point, the month is held and applied when it subscribes.
- If the referred company uses the 30-day guarantee, the referring company neither earns nor keeps the free month for it. If the month had already been credited, the part not yet used is removed from its balance; anything already deducted from an invoice is not charged back. The removal is recorded in its account history.
- The free month is a credit balance on the referring company’s Remitide customer account, for the amount of one monthly fee of its plan excluding VAT, applied to its next Remitide invoices until used up. It can’t be exchanged for cash, isn’t refunded if the subscription ends and can’t be transferred.
- At most 12 free months per company in any twelve-month period, and one per referred company.
- Referring yourself doesn’t count: the same company, owners with the same custom email domain or the same paying customer. Remitide may cancel rewards obtained fraudulently or contrary to these conditions.
- Remitide may change or end the programme with effect for the future, by publishing it on this page. Months already earned or pending at that point are honoured.
If you come through a partner
Some accounting firms (gestorías), advisers and professionals recommend Remitide as part of the partner programme and earn a commission from Remitide. If you create your account with one of their links:
- Your account is attributed to that partner from sign-up. An account has only one origin: if you arrive with their link and another one (a partner’s or a referral), the first one counts, and you are told when you sign up.
- You start with the normal 14-day trial. If you then take out your first monthly subscription, the first month is free. As that first payment is €0, the 30-day guarantee does not apply to that subscription. This free month is not combined with the founding company discount: if you are one, the discount applies.
- The partner will know that you are a customer, your plan and what you pay, to calculate their commission: they see your company’s trading name, your plan, whether you have a paid subscription and the amounts excluding VAT of your Remitide invoices. Never your invoices, your customers or your reminders. The privacy policy explains this, and you can object.
- Their commission is paid by Remitide and doesn’t change your price. The partner is independent: they don’t represent Remitide and can’t enter into contracts or commitments on its behalf. Your contract is with Remitide, under these terms.
- You can always see this in Settings › Partners.
Founding companies programme
The first companies can sign up with a founding company invitation, which Remitide hands out personally and with limited places. These are its conditions:
- When you create your account with the invitation, you get the plan it states (Professional, Advanced or Business) free, without a card, for the months it states, normally 3. When that ends nothing is charged automatically: you choose whether to subscribe. One invitation per company.
- If you subscribe to Professional, Advanced or Business, paying monthly or annually, you get a 40% discount on that plan’s current price for as long as the subscription lasts. At current prices: Professional, €41.99; Advanced, €59.99; Business, €89.99 a month, plus VAT.
- The 40% replaces the referral free month: they are not combined. The 30-day guarantee, which is not a discount, also applies.
- When we say on the website that the discount is “for ever” or “for life”, it means exactly this: for as long as your subscription to one of those plans continues without interruption and Remitide keeps providing the service. It is not a fixed price: the 40% applies to the price list in force at any given time, and changes to it are notified as set out in the prices section.
- You keep it if you switch between Professional, Advanced and Business.
- You lose it, permanently, if your subscription moves to a plan that is not on that list (Plus or lower) or if your subscription ends, through cancellation, non-payment or use of the 30-day guarantee. A change scheduled for renewal makes you lose it from that renewal. If you later subscribe again or upgrade, the standard price applies. Scheduling a cancellation and resuming the subscription before the paid period ends does not make you lose it.
- In return we will ask for your feedback once a month and, if you like Remitide, to be able to say that you use it. Both are voluntary and don’t affect the discount; we will always ask for your express permission to quote your name or show your logo.
- The discount belongs to the company that redeemed the invitation: it can’t be transferred to another account or exchanged for cash. Remitide may stop accepting new founding companies when the places run out, without affecting those that already are.
Accounting firms plan
The Accounting firms plan lets a firm follow the payments of the companies it advises from a shared dashboard and access their accounts with the level of access each one gives it. These are its conditions:
- Who can take it out: the owner of the accounting firm account must be a genuine professional firm (gestoría, advisory firm, or accounting, tax, employment or law firm) that provides its services to the client companies it links. It can’t be used to give a plan to its own companies, companies in the same group or companies with no professional relationship with the firm. Remitide may ask for proof and, if the conditions aren’t met, withdraw the Accounting firms plan and apply each account’s standard price from the next renewal.
- The fee: €139.99 a month, plus VAT, with 5 small client companies included: those in the Starter and Essential bands, and if there are more than 5, Essential companies first. Each additional client company is charged monthly according to its size, in the band of the individual plan that matches it: Starter (up to 100 invoices a year), €17.99; Essential (up to 250 invoices a year), €27.99; Plus (up to 600 invoices a year), €41.99; Professional (up to 1,200 invoices a year), €59.99; Advanced (up to 2,400 invoices a year), €86.99; Business (up to 4,800 invoices a year), €129.99. Annual payment charges 10 monthly fees for twelve months.
- What each covered company gets: the limits and features of the individual plan its band is named after (the Plus band gets everything in the Plus plan); in the Starter and Essential bands, also the legal deadline tracker for unpaid invoices and insolvency monitoring, and in the Plus band, also the legal deadline tracker for unpaid invoices, for as long as the firm covers it.
- Size: Remitide works it out from the invoices each company has issued in the last 12 months. A newly linked company starts in the band that matches its imported history, or in the Starter band if it has none, and during its first 30 days its band is adjusted as soon as it finishes importing. After that, if it changes band, Remitide notifies the firm at least 7 days in advance and the change applies at the firm’s next renewal, never mid-period; until then the company keeps the limits of its band. A company with more than 4,800 invoices a year is not covered by the firm’s fee: it needs its own plan or a custom plan.
- Who pays for each company: the firm chooses, company by company, between the firm paying (the company is included in its fee at the band for its size) or the company paying (it takes out its own Remitide plan at the standard price). For the company to pay, it must already have its own active plan. A company paying for its own plan doesn’t count towards the fee, the firm pays nothing for it, and the firm still sees it in its dashboard with the access the company has given it.
- If the firm also joins the Remitide partner programme, it can earn commission on client companies that pay for their own plan, under the conditions of that programme.
- Which companies count: each client company with an active link (its owner has accepted the invitation and neither party has removed it) for which the firm pays. Pending, declined, cancelled or expired invitations, removed links and companies that pay for themselves don’t count.
- Client companies that already pay for their own Remitide plan don’t count towards the fee while they keep it paid: they use their own plan and the firm doesn’t pay for them. If one for which the firm pays stops paying for its own plan (because it cancels it, it ends or payment fails), it starts counting and is covered by the firm from that moment. The dashboard shows which companies count, in which band and why.
- Pro rata adjustment: whenever the companies that count change (one is linked or unlinked, who pays changes, or it starts or stops paying for its own plan), the fee is adjusted in Stripe pro rata: the amount for the days left in the period is added to or deducted from the next invoice, with no separate charges for each change. The adjustment is made only once per change, even if the check is repeated. Band changes for a company already linked are not pro-rated: they apply at renewal.
- During the firm’s 14-day free trial, the firm covers only its first 5 client companies that count.
- Client companies own their account and their data. The firm accesses them with the role each company gives it, never as owner: it can’t take out, change or cancel the company’s plan, or take away or delete its data. Every visit is recorded in the company’s history, and the company can remove the access whenever it wants.
- If the firm stops paying for the Accounting firms plan (non-payment, cancellation or end of the period without renewal), it loses access to the firm dashboard and to its client companies’ accounts until it puts this right. Client companies keep their account, their data and their access: those paying for their own plan carry on as before, and the others can take out their own plan or switch to read-only mode, like any account without a plan, with their data available to view and export. Remitide does not claim from client companies what the firm owes.
Closing your account and your data
You can close your account whenever you like, with no penalty and without having to call anyone. The service stays active until the end of the paid period and does not renew.
Take your data with you first: in Settings › Data and privacy you can download your invoices, your customers and your reminders in a file that any spreadsheet can open. You don’t need to ask or wait.
When the account is closed, the data is deleted, except what must be kept for legal and accounting reasons. The specific periods are in the privacy policy.
Availability
Reasonable care is taken to keep the service available, but no specific service level is committed to: there will be maintenance windows and there may be outages. Reminders that don’t go out because of an incident are retried when the service is back.
The software is updated often. Features may change; if one is withdrawn or changed in a way that affects how you work, you will be told in advance.
If Remitide decided to stop providing the service, it would notify the owner of each account at least sixty days in advance, keep data export available during that period and refund the proportional part of fees already paid for periods it does not provide.
Force majeure
Neither party is liable for delay or failure caused by events that could not be foreseen or which, if foreseen, were unavoidable and beyond its reasonable control: disasters, general power or telecommunications outages, widespread infrastructure provider outages, large-scale cyberattacks despite reasonable security measures, or decisions by authorities. The affected party will report it as soon as it can and do what is reasonable to limit its effects. If the situation lasts more than thirty days, either party may terminate the subscription and the proportional part of what was paid for the period not provided will be refunded.
Intellectual property
Remitide’s software, design, text and brand belong to Blixma Capital Group, S.L. or to whoever has licensed them to it. Your account gives you a personal, limited, revocable and non-exclusive licence to use the application in accordance with these terms, and nothing more.
Your data remains yours. Your invoices, your customers and the text of your reminders are yours: we acquire no rights over them other than the permissions needed to provide the service in line with your instructions. Access by providers and authorities is governed by the privacy policy and the data processing agreement.
The same goes for the logo, signature and footer you set up for your reminders: they are yours, and it is up to you to have the right to use them. So that recipients of the reminder can see it, the logo is published at a Remitide address with a random identifier, which changes if you upload another and stops working if you remove it or the account is no longer active.
Limits of liability
Remitide is liable for breaches attributable to it in accordance with the contract and the law. It does not take on the commercial risk of your invoices. The following are not guaranteed:
- the collection of a debt, the debtor’s solvency or any particular financial result;
- the legal suitability of calculations, drafts or collection strategies for a specific case;
- the accuracy of data provided by the customer or by their invoicing software, without prejudice to correcting errors attributable to Remitide;
- the delivery of each email where filters, incorrect addresses or external incidents beyond our reasonable control are involved.
In purely business-to-business relationships, and to the extent permitted by law, the provider’s total contractual liability for events connected with the service is limited to the greater of 500 euros and the Remitide fees actually paid by the customer in the twelve months before the event giving rise to the claim. Events arising from the same cause are treated together. The amounts of invoices managed through the service are not Remitide fees.
Within those same limits, expected profits, lost business opportunities and indirect damage not foreseeable at the time of contracting are excluded. This does not remove the right to receive the agreed service, to terminate for breach or to recover amounts that must legally be refunded.
These exclusions and the financial cap do not apply to wilful misconduct or gross negligence, personal injury, non-waivable data protection obligations and rights, or any liability the law does not allow to be limited. They do not bind authorities or deprive third parties of their rights. Nor do they automatically pass fines or penalties on to the customer. If consumer protection law were to apply, its mandatory safeguards prevail in full.
Assistant, automations and human review
The assistant may produce errors, omissions or inaccurate interpretations. Its answers do not establish whether a debt exists, is enforceable or is time-barred, and do not replace professional review. Before switching on automatic sending, you must check recipients, amounts, frequency and templates. Monitor the results and pause the follow-up when there are payments, disputes or incorrect recipients.
Don’t enter passwords, API keys or unnecessary sensitive data in questions or notes. Don’t use the assistant for credit decisions, threats, reporting to credit reference files or automatic court claims. Your supervision duties don’t exclude ours regarding security, the contracted functionality and data processing.
Assistant actions with financial effects (recording, correcting or refunding a payment, or changing or cancelling the subscription) are only carried out after an authorised person on your account expressly confirms them. A refund through your Stripe account is money leaving that account: check the amount and the payment before confirming it.
Texts drafted by the AI are suggestions. If you send them, or switch on their automatic sending, their content is a reminder from you, in your name, and it is up to you to make sure it is truthful, proportionate and lawful.
Your customers’ replies and insolvency monitoring
The replies your customers send through the link in the reminders arrive exactly as they write them and automatically adjust the follow-up for that invoice, according to the rules explained in the application. Remitide does not make any legal assessment of them or check the identity of the person replying: whether a reply has value as evidence or as an acknowledgement of the debt is for you to assess with your adviser. An “I’ve already paid” does not mark the invoice as paid; reviewing it and deciding is up to you.
Insolvency monitoring compares your portfolio with the official publications in Spain’s Official Companies Gazette (BORME). It is for guidance only: there may be delays at the source, matches that aren’t real and insolvency proceedings that don’t appear, and it does not replace checking the Official State Gazette (BOE) or any legal deadline running in your case. Data source: Agencia Estatal Boletín Oficial del Estado (the Spanish Official State Gazette agency); the BOE does not sponsor or endorse this service.
Accounting firms: data and responsibility
A company can authorise its accounting firm to see a summary of its payments and to access its account. In that case:
- The company remains the owner of its account and its data, the controller of its customers’ data and the one chasing its invoices, in its own name and from its own email account. It decides whether to accept the link and with what access, and can change or remove it whenever it wants. The plan, closing the account and deleting the data are always its decision.
- The accounting firm uses the company’s account as a person authorised by it and only for what the company asks it to do. What it does inside is done in the company’s name and recorded in its history. The firm does not chase payment in its own name or buy or manage debt: reminders always go out in the company’s name, from its email account and for its own invoices.
- In respect of the company’s customers’ data, the accounting firm acts as the company’s processor. The agreement between them required by Article 28 of the GDPR, the firm’s fees and its professional liability are outside Remitide’s scope.
- The accounting firm is answerable to Remitide for how the people at the firm use that access. Remitide is responsible for its own obligations as provider and as the company’s processor, including ensuring access ends when it is removed, but not for the decisions the firm makes inside the company’s account or for the agreements between them.
Integrations and separation of payments
Integrations require permissions, compatible plans and the providers’ availability. Synchronisation may be delayed: check balances and transactions before chasing payment. Don’t share credentials, and revoke access when it is no longer needed.
Payments of your invoices are processed in your connected Stripe account, under your contract with Stripe. Remitide does not receive or hold those funds. Stripe’s fees, verifications, reserves, payouts and disputes are governed by that provider’s applicable terms. The fee for using Remitide is a separate payment.
The involvement of third parties does not exclude Remitide’s own obligations or its legal liability for the services it subcontracts, including under the data processing agreement.
Claims for misuse and incident handling
The customer is liable for proven damage caused by unlawful instructions, fictitious debts, lack of entitlement over the data or abusive use attributable to the customer. If a third party makes a claim over such matters, the parties will cooperate in the defence and keep the relevant evidence.
Any compensation to Remitide will only cover proven amounts and reasonable defence costs, agreed in writing or awarded by a court, in the proportion attributable to the customer. The claim will be reported without delay and the customer will be allowed to take part in the defence. No settlement will be imposed without consent, and damage caused by Remitide will not be included.
We may suspend features proportionately where there is a risk of fraud, unauthorised access or harm to third parties, giving notice where possible. Reporting an incident does not mean waiving any claims and does not change legal deadlines. Get in touch through the channel given at the end.
Assignment of the contract
Remitide may assign its position under this contract, and under the data processing agreement, to a company set up or controlled by its owner, or to whoever succeeds it in running the service, provided the assignee takes on exactly the same obligations in full. We will give at least thirty days’ notice and, if you don’t agree, you can close your account before the assignment takes effect and get a proportional refund of fees paid in advance. You may assign your account to another company with our prior written agreement.
Changes to these terms
These terms may change. When they do, the new version is published here with its date. Material changes will be notified at least thirty days in advance, unless a legal or security requirement makes it necessary to act sooner. New limits of liability will not be applied retroactively to earlier events. If you don’t agree with a change, you can close your account before it takes effect.
Governing law and jurisdiction
These terms are governed by Spanish law. Any dispute that cannot be settled amicably will be heard by the courts determined by the applicable rules. No waiver of mandatory jurisdiction or rights is imposed.
If any clause were declared void or unenforceable, the rest of the terms would remain in force and that clause would be replaced by the valid one that comes closest to its purpose.
