Step by step
From your customer’s question to a decision about follow-up.
Step 1
The reminder carries the link
It goes out from your inbox, with your signature. At the end, a link that opens only that invoice: not the customer’s other invoices, and not anyone else’s.
Step 2
Your customer picks a reply
“I’ve already paid it”, “I’ll pay it on…”, “There’s a problem” or “I need more time”. They can add a short note.
Step 3
Reminders for that invoice adjust
They wait while you check a payment, stop until the promised date or pause while a problem is sorted out. Every other invoice carries on as normal.
Step 4
The reply comes to you
To whoever handles that customer or, if nobody is assigned, to the account manager. It’s saved on the invoice, with the date and time.
What each reply does
Four replies, four measured effects.
The rules are fixed and the same for every business. Nothing your customer says ever closes a payment on its own.
“I’ve already paid it”
They give the payment date (up to 120 days back) and, if they like, the reference. The invoice isn’t marked as paid: its reminders wait 5 working days while you check. If the payment shows up in your software, the invoice closes by itself; if not, the sequence carries on.
“I’ll pay it on…”
They choose a date up to 30 days away. It’s logged as a promise to pay: no reminders until that day and, if the day comes without payment, the sequence picks up where it left off.
“There’s a problem”
With the reason: the purchase order number or reference we asked for is missing; the amount isn’t right; the billing details aren’t right; the service or goods weren’t as agreed, or another they explain. The invoice goes into dispute and its reminders pause until you mark it as resolved.
“I need more time”
They propose a date up to 90 days away. You accept or decline it in one click; while you decide, reminders wait for 5 working days at most. If you accept, it becomes a promise and your customer sees it on their page.
A link that only opens that invoice
The link is a random key stored in Remitide: it carries no data, it expires and it stops working once the invoice is paid. There’s a daily limit on replies so nobody can abuse it.
No judgements
Every reply is saved exactly as given, with the date and time. Remitide doesn’t assess its legal standing or identify who replied: what it’s worth is for you to judge, with your adviser if needed.
Replies come in through the link in the reminder. Remitide doesn’t read your email: if your customer replies to the message, they’re writing to you, in your inbox, and you decide from the app whether to pause that invoice.
In the app
Every reply, in one inbox.
In Sending › Replies you see what customers have told you: payments they say they’ve made, promised dates, problems and requests for more time waiting for your decision.

What about your invoicing software?
Your software sends the invoice. Whatever the payer wants to say has nowhere to go.
A reminder that can’t be answered gets ignored or answered by email, and someone on your team has to read it, understand it and stop the reminders by hand.
In your invoicing softwareIn the invoicing software we reviewed, the customer who receives the invoice can’t propose a payment plan or report a problem with it before the due date.
With Remitide on topYour customer can tell you about a problem or propose a date from any reminder, including the one that goes out before the due date.
In your invoicing softwareWhere there is a portal for the payer, it belongs to a single issuer: your customer sees that company’s invoices and nothing else.
With Remitide on topThe link opens the exact invoice in the reminder, with no sign-up: your customer replies in one click, without having to write an email.
In your invoicing softwareAn email reply is just another message in an inbox: someone has to read it, understand it and stop the reminders by hand.
With Remitide on topEvery reply through the link changes follow-up on that invoice straight away, with fixed rules, and is saved in its history.
What we say about invoicing software comes from a review of the official websites and help centres of the most widely used invoicing software in Spain, carried out on 3 October 2026. It describes the category as a whole and may not apply to a particular product or its add-ons.

Frequently asked questions
What people usually ask.
Does my customer have to create an account?
No. The link in the reminder opens the invoice and the four replies. It asks for no sign-up, password or personal details beyond whatever they choose to write in the note.
What if my customer says they’ve paid and they haven’t?
The invoice isn’t marked as paid. Its reminders wait 5 working days while you check with your bank or your software; if no payment comes in and you don’t confirm it in that time, the sequence carries on where it was.
What happens if they reply to the email instead of using the link?
Their reply lands in your inbox like any other email, because the reminder comes from your account. Remitide doesn’t read your inbox, so it doesn’t change anything by itself: if you want to stop the reminders for that invoice, you do it from the app in one click or log the promise to pay by hand.
Can I turn down a request for more time?
Yes. Every request waits for your decision: accept it and it becomes a promise to pay on that date, or decline it and the sequence continues. Your customer sees the outcome on the same page.
Does my customer’s reply have any legal value?
Remitide saves the reply exactly as given, with its date and time, and doesn’t assess its legal standing. If you need to know what effect it might have in your case, ask your adviser.
Who on the team gets the reply?
Whoever handles that customer, if you’ve assigned an owner; if not, the account manager. It also stays in the replies inbox and in the invoice history.
