How it works

An invoice comes in.
The sequence takes care of the rest.

Remitide connects to your invoicing software via API, spots every due date and runs the right sequence for each customer, from your own inbox. Here’s what it decides, what data it decides with and where you can stop it.

Sequences by tone and age

Six moments. You decide which ones.

Day −3 · courtesy tone

Before it’s due

Nothing is owed yet. A friendly reminder with the date and the payment link.

Invoice FA0269 · due 30 September

This is a reminder that invoice FA0269, for €8,450.00, is due on 30 September. You can pay it using the link below.

View and pay the invoice

Illustrative example. Late payment interest is calculated at the ECB reference rate plus 8 percentage points (Spain’s Late Payment Act, Law 3/2004) and depends on each case; Remitide calculates it, it doesn’t claim it for you.

The tone

Courteous, yes. Ceremonious, only if you want it to be.

You change it from a drop-down in Settings and it applies to every reminder that hasn’t gone out yet.

Invoice F-2026-0412 · due 14 October

Hi Marta, just a reminder that invoice F-2026-0412, for €1,210.00, is due next Tuesday. Could you let us know where it stands?

  • I’ve already paid it
  • I’ll pay it on…
  • There’s a problem
  • I need more time
Example with made-up data.

What happens in your follow-up

  1. “I’ve already paid it”

    It isn’t marked as paid

Reminders for that invoice wait 5 working days while you check. If the payment shows up in your software, it closes by itself; if not, the sequence carries on.

  2. “I’ll pay it on…”

    It’s logged as a promise

A date up to 30 days away. No reminders until then and, if the day comes without payment, the sequence picks up where it left off.

  3. “There’s a problem”

    The invoice goes into dispute

With the reason (the purchase order number or reference we asked for is missing; the amount isn’t right; the service or goods weren’t as agreed) and no reminders until you mark it as resolved. You see it before it turns into weeks of delay.

  4. “I need more time”

    They propose a date

Up to 90 days away. You accept or decline it in one click; while you decide, reminders wait for 5 working days at most.

Invoicing software sends the invoice. Remitide captures what the person who has to pay it says and turns it into a decision about follow-up. In the Spanish invoicing software we’ve reviewed, the customer can’t propose a payment plan or report a problem before the due date.*

  • In every plan, including the trial.
  • The link only opens that invoice and stops working once it’s paid.
  • Every reply is saved with its date and time; Remitide doesn’t assess its legal standing.

* Review of the official websites and help centres of the most widely used invoicing software in Spain, carried out on 3 October 2026. It describes the category as a whole and may not apply to a particular product or its add-ons.

Calibrated chasing

You don’t chase a town council the way you chase a regular customer.

Everything is set up in the app, with no design templates or code: you create a sequence by copying yours, and you upload your logo in Settings.

Your sequences

  • Defaultthe one everyone else follows−3 · +3 · +10 · +21 · +35 · +50Neutral
  • Regular customers42 customers−3 · +5 · +15Warm
  • Key accounts8 customers+3 · +15 · +30 · +45Formal
  • Public sector5 customers+30 · +60 · +90Formal

Days relative to the due date. Changing a customer’s sequence affects their new invoices: the ones already in progress don’t skip or repeat reminders.

Before every send

Eight checks before anything goes out.

Is it still outstanding?

The balance is re-read and locked just before sending, not taken from a batch run ten minutes earlier.

Is the customer excluded?

Mark it once and the sequence cancels itself for good.

Is there an open problem?

Writing in the middle of a dispute about the work makes it worse. It pauses.

Is it a good time to write?

Working days only, within the sending window of its sequence. A reminder at eleven on a Saturday doesn’t get read.

How many this week?

Limited frequency: one or two reminders per customer a week, depending on their type. If the limit is reached, the reminder waits.

Does it fit their payment run?

If they pay on the 10th and the 25th, the reminder is placed where it makes the next one.

Do you want to approve it?

You can require a person’s approval before it goes out in your name.

Have you logged their reply?

The connection only sends: it doesn’t read your inbox. You mark the reply and it pauses.

The brakes

Nothing goes out unless you allow it.

Automatic, but never blind. A system that chases payment in your name needs a handbrake, and these three aren’t hidden settings: they’re on the first settings screen.

Review during the trial

During the 14-day trial reminders really go out, but none without your approval. When you subscribe, you decide whether they keep going through you or go out on their own.

Prior approval

If you switch it on, no reminder goes out without a person approving it. Remitide prepares; you decide.

Emergency stop

One button stops all of the company’s sending instantly, without touching the setup or losing the history.

And the log keeps the exact text of every reminder sent, with its date. If a debt ends up being disputed, that’s exactly what you need to show.

When an invoice gets complicated

Chase only what’s owed. And stop chasing when it’s no longer right to.

Insolvency monitoring · from Plus

If a customer enters insolvency proceedings, your follow-up switches track.

You can buy an insolvency alert in plenty of places. What Remitide adds is what happens next, without copying dates from one place to another.

  1. It appears in the BORME

Every day we check insolvency notices in Spain’s Official Companies Gazette (BORME) against your customers: declaration of insolvency, liquidation or conclusion, with the court and the link.

  2. Possible match: you decide

The BORME publishes the company name, not the tax ID (NIF/CIF). If a name matches a customer, we show you and you confirm whether it’s them. If you dismiss it, everything stays as it was.

  3. Their reminders pause

Once you confirm it, automatic reminders to that customer stop: getting paid now goes through the insolvency proceedings, not reminders.

  4. The deadlines are recalculated

One month to file your claim and the cut-off for recovering the VAT (art. 80.Three of the Spanish VAT Act), invoice by invoice in the deadline tracker, from Professional.

Guidance only, based on official publications; check it with your accountant or lawyer. Remitide doesn’t assess anyone’s creditworthiness: it only tells you that a publication exists. Data source: Agencia Estatal Boletín Oficial del Estado, Spain’s Official State Gazette agency (BORME, Section One).

Credit notes and corrective invoices

The reminder asks for what’s genuinely outstanding.

Invoice F-2026-0412€1,210.00
Corrective invoice R-2026-0031−€242.00
Outstanding€968.00

Example with made-up data.

Remitide takes credit notes and corrective invoices into account: if you issue a corrective invoice, the reminder asks only for what’s genuinely outstanding and explains the breakdown, and if the invoice is settled, it stops chasing it.

A credit note that doesn’t say which invoice it belongs to? It doesn’t apply it on its own: it alerts you before chasing that customer so you can decide.

Legal deadlines on unpaid invoices

An unpaid invoice is a ticking clock.

It’s not just the missing money: deadlines are running that, if you let them pass, cost you VAT, interest and rights. Remitide works them out invoice by invoice, based on what’s still owed.

  1. Day 0

    The invoice falls due

Between businesses, payment terms can’t exceed 60 days from delivery.

Spain’s Late Payment Act (Law 3/2004), art. 4

  2. Day 1

Interest and €40 start to accrue

Late-payment interest (the ECB rate plus 8 points) and €40 per invoice in collection costs, without having to claim them expressly.

    Law 3/2004, arts. 7 and 8

  3. 6 months

    You can recover the VAT

With a formal, provable claim, you reduce the taxable base: 6 months from when the VAT was due, or 1 year if your turnover exceeded €6,010,121.04.

Spanish VAT Act (Law 37/1992), art. 80.Four

  4. 31 December

    The loss can be deducted

If 6 months have passed since the due date at the close of the financial year, the unpaid debt can be deducted for Spanish corporate income tax.

    Law 27/2014, art. 13.1

  5. 3 or 5 years

    The debt can become time-barred

Generally after 5 years; in some cases, after 3. An email reminder may not interrupt the limitation period.

Spanish Civil Code, arts. 1964 and 1967

Indicative deadlines under current Spanish law. Check them with your accountant: Remitide doesn’t file taxes or chase payments on your behalf. The invoice-by-invoice detail, from Professional.
